Service conditions, payment terms and your rights when working with us

These Terms govern your use of www.southernfacility.co.uk and any quotes or services provided by Southern Facility Services Ltd (“we“, “us“). By using our website or requesting services, you agree to these Terms.

1. Website use

  • You must use the site lawfully and not disrupt or attempt to gain unauthorised access
  • Content is provided “as is”; we aim for accuracy but do not warrant completeness
  • We may change or suspend website content without notice

Any attempt to compromise website security or gain unauthorized access may result in prosecution and immediate termination of services.

2. Quotes & bookings

  • Quotes are based on the information you provide and may change if requirements differ on site
  • A booking is confirmed only when we accept your request (email/phone confirmation)
  • We may request photos or additional details to scope the work accurately

Quote Accuracy

To ensure accurate quotes, please provide complete and truthful information about your property and requirements. Photos are particularly helpful for complex jobs.

3. Payment

  • Unless otherwise agreed, payment is due after completion and your acceptance of the job (per our “Book Now, Pay After” promise)
  • We accept bank transfer, card payments, and cash. Invoices are payable within 7 days of issue
  • Late payment may incur statutory interest and recovery costs as permitted by law

Payment Protection

Our “pay after completion” policy means you only pay when you’re satisfied with the work. This is part of our commitment to customer satisfaction.

4. Cancellations & rescheduling

  • You may reschedule or cancel with 24-48 hours notice. Cancellations with shorter notice may incur a call-out fee
  • We may reschedule due to events outside our control (weather, illness, supply issues)

Cancellation Fees

  • 24+ hours notice: No charge
  • Less than 24 hours: May incur call-out fee if engineer has already been dispatched
  • Emergency callouts: Different terms may apply

5. Access & preparation

  • You are responsible for providing safe access to the property and notifying us of any risks (asbestos, hazards)
  • You must obtain any required permissions or consents (e.g., landlord/management approvals)

Safety First

Please inform us of any known hazards, restricted access, or safety concerns before our arrival. This includes asbestos, electrical hazards, or structural issues.

6. Materials & workmanship

  • We perform services with reasonable care and skill
  • Unless stated, materials are charged at cost plus handling
  • Warranty: workmanship is warranted for 6 months from completion. Defects due to misuse, fair wear and tear, or third-party interference are excluded

What’s Covered

  • Defects in workmanship
  • Material failures (where we supplied materials)
  • Installation issues

What’s Not Covered

  • Normal wear and tear
  • Damage caused by misuse or abuse
  • Third-party modifications
  • Issues arising from customer-supplied materials

7. Liability

We are not liable for:

  • Indirect or consequential loss
  • Loss of profit, revenue, or business
  • Delays caused by third parties or your failure to provide accurate information or access

Liability Limits

Nothing excludes liability for death or personal injury caused by negligence, fraud, or any liability that cannot be limited by law. Our total liability for any claim related to the services is limited to the amount paid for the relevant work.

8. User content & submissions

  • Information you submit must be accurate and lawful
  • You grant us a licence to use submitted content (photos, descriptions) to provide services
  • We may use anonymized project details for marketing purposes

9. Intellectual property

  • Website content (text, graphics, logos) is owned by us or our licensors
  • You may not copy or redistribute without permission
  • You may view and print pages for personal use only

11. Force majeure

We are not responsible for delays or failures caused by events beyond our reasonable control, including:

  • Government restrictions
  • Supplier failures
  • Labour disputes

12. Governing law

  • These Terms are governed by the laws of England and Wales
  • Courts of England and Wales have exclusive jurisdiction
  • Any disputes will be resolved in accordance with English law
